How much does a bottleless water cooler cost?
The monthly cost depends on your site, not a fixed list. Here is what moves it, what it covers, and how to get an exact number for your workplace.
What drives bottleless water cooler rental cost
Two offices of the same size can land on different monthly fees. These are the five things that explain why.
Unit type
A countertop cooler, a freestanding hot and cold unit and a high-capacity commercial machine are built for different loads. Bigger units cost more to rent and more to run.
Water only, ice, or sparkling
Still water is the simplest setup. Adding ice or sparkling adds equipment, and sparkling adds CO2. Many workplaces start with water and add the rest later.
Headcount and volume
More people means more drinking, more ice and more filter use. We size the unit to your real use so you do not pay for capacity you will not need.
Installation complexity
Units connect to your existing water line. A short run to a breakroom is simple. Longer runs, drains or tight spaces take more time.
Agreement term
After the free trial, the service agreement runs 36 or 60 months. The term you choose affects the monthly fee.
What the monthly fee includes
One monthly fee covers the unit and the upkeep. No separate invoices for parts or visits.
Installation
We install the unit and connect it to your existing water line.
Filters
Water is filtered on demand through carbon block and UV. Where your water needs it, we add reverse osmosis.
Scheduled sanitisation
We clean and sanitise the unit on a set schedule, so it is not left to whoever remembers.
Repairs
If something stops working, we fix it. Service response is within one business day.
No delivery fees
Nothing is trucked in. There are no bottles to order, drop off or pick up, so there is no delivery charge to track.
The hidden costs of 18 L jug delivery
A low price per jug looks cheap. The full cost is usually spread across several lines and several people.
Per-bottle and delivery fees
Jugs are priced one by one, and many suppliers add delivery, fuel or minimum-order charges. The total moves with every order.
Deposits
Reusable jugs and stands can carry deposits or fees if they go missing or are damaged.
Storage space
Full and empty jugs need a place to sit. In a small office, that is floor space you could use for something else.
Staff time
Someone has to order, receive, carry and swap jugs. It is a small task that repeats every week and adds up over a year.
Lifting injuries
A standard jug is 18.9 L and about 42 lb (19 kg). Lifting one overhead onto a cooler is a real strain risk.
Running out
A missed order or a busy week means an empty cooler. Staff then buy drinks elsewhere or go without.
How to compare any water cooler quote
Whoever you ask, put the same questions to each quote.
What is included?
Check that filters, sanitisation and repairs are in the fee and not billed separately.
How long is the term?
Ask for the term in months and what happens at the end of it.
How fast is service?
Ask how quickly a technician responds when a unit is down.
How to get an exact quote
We do not publish a price list because the right setup depends on your site. Two ways to get a real number.
Site visit
We look at your space, your water line and how many people use it. You get a written quote for the right unit.
Free 2-week trial
We install a unit at your workplace for two weeks. If it is not a fit, we remove it at no cost.
What to have ready
Your approximate headcount, whether you want ice or sparkling, and where the unit would go. A photo of the spot helps.
